1. Who is responsible for your data

Fellow Progress is responsible for the personal information described in this notice. Questions and data-rights requests can be sent to richard@fellowprogress.com.

2. What we collect

• Account details, such as your email address and profile name.
• Contact, discovery, organisation and one-to-one support enquiries.
• KLAI answers, preferences, saved-practice context and optional private reflections.
• Payment and membership status. Fellow Progress does not receive your full card details.
• Product feedback and technical information needed to keep the service reliable and secure.
• Site usage information when you consent to analytics.

What you choose to tell KLAI may include information about your wellbeing or health. Please share only what you are comfortable using to create and, when you choose, save a practice.

Personal therapy records and outcome measures are handled separately from the public contact forms and KLAI product journey, with access restricted to the people who need them.

3. How we use it

• To provide accounts, personalised KLAI audio and saved practices.
• To respond to enquiries and arrange services.
• To administer memberships and payments.
• To protect the service, diagnose failures and enforce usage limits.
• To understand and improve the site when analytics consent has been given.
• To meet legal, safeguarding and professional obligations.

Our legal bases depend on the activity. They include providing the service you requested, complying with legal obligations, legitimate interests in operating a safe and reliable service, and consent where the law requires it. You can withdraw consent without affecting processing that already took place lawfully.

4. KLAI and automated services

KLAI uses selected parts of your answers to shape a script and generate speech. It does not diagnose you or make decisions about access to healthcare, employment, credit or other legal rights. You decide whether to play or save the resulting practice.

Your submitted answers are processed by OpenAI to check for potentially harmful content. Text needed for generation is processed by Anthropic, and speech needed for personalised audio is processed by ElevenLabs. Reusable recorded passages reduce the amount of personal text sent for speech generation. KLAI answers are excluded from analytics, session replay, URLs and routine diagnostic logs.

5. Services we use

• Supabase for authentication, database records and protected storage.
• OpenAI for automated content-safety checks on KLAI answers.
• Anthropic for KLAI script generation.
• ElevenLabs for personalised speech generation.
• Stripe for membership payments.
• Resend for service and enquiry emails.
• PostHog and Google for optional browser analytics after your consent.
• PostHog for limited server failure alerts, without account identifiers or submitted answers.
• Vercel for website hosting and delivery.

These providers process only the information needed for their role. Some processing may take place outside the UK; where it does, we use the safeguards required by UK data-protection law.

6. Storage, retention and security

We use access controls, encryption in transit and provider security controls. No online service can promise absolute security. We keep account and saved-practice information while your account is active and for only as long afterwards as needed for legal, security and service purposes. Enquiries, payment records and professional records may have different legal retention periods. You can ask for the retention period that applies to your data.

7. Your rights

Depending on the circumstances, UK data-protection law gives you rights to:

• Access and receive a copy of your personal data.
• Correct inaccurate or incomplete data.
• Request deletion or restriction.
• Object to certain processing.
• Receive portable data where applicable.
• Withdraw consent.
• Complain to the Information Commissioner's Office.
